Privacy Policy — U.S. Visa Appointment Scheduler

This Privacy Policy describes what information the U.S. Visa Appointment Scheduler Chrome extension ("the Extension") collects, how it is used, how it is stored, and how it is shared. By installing or using the Extension, you agree to the practices described in this policy.
1. What the Extension Does
The Extension monitors the U.S. Visa Information Service website (ais.usvisa-info.com) for earlier appointment slots on your behalf, using your existing logged-in browser session. It does not access or store your AIS password or login credentials.
2. Information We Collect
2.1 Personally Identifiable Information
- Email address — read from your AIS account page footer. Used to identify your account on our backend service and associate your settings with your account.
- AIS User ID — a numeric ID visible in the URL of the AIS appointment scheduling page. Used to query appointment availability on your behalf.
2.2 Appointment and Settings Data
- Selected consulate/facility — the consulate location you have selected on the AIS scheduling page.
- Current appointment date — your existing appointment date shown on the AIS page, used to pre-fill the extension's search range.
- Search date range — the start and end dates you configure for the appointment search.
- Scan interval — how frequently the extension checks for new appointments.
- Auto-booking preference — whether the extension should automatically book a found appointment or only fill the form.
- Payment plan — your subscription tier (free or paid).
2.3 Usage Activity (Analytics)
The Extension collects anonymized usage data to help improve the product, including:
- Scheduler session start and end times
- Number of appointment scans performed per session
- Whether an appointment was found and/or booked
- Error and rate-limit events (e.g., AIS system busy counts)
- Extension version
This analytics data does not include your name, password, or the content of any AIS pages.
3. How We Use Your Information

Your data is not used for advertising or sold to any third party.
4. How Information Is Stored
- Locally on your device: Your scheduler settings (date range, scan interval, auto-booking preference) are stored in
chrome.storage.local. A short-lived session token (JWT) is stored in chrome.storage.session and is automatically cleared when the browser closes.
- On our backend server: Your email address, AIS User ID, settings, and anonymized usage analytics are stored on a backend server operated by the developer and hosted on Google Cloud (Google Cloud Run / Firestore), located in the United States.
5. Data Retention
- Session token (JWT): Expires after 24 hours and is cleared from the browser when the browser closes.
- Settings and account data: Retained on the backend for as long as you use the Extension. You may request deletion at any time by contacting us.
- Usage analytics: Retained for up to 12 months for product improvement purposes, then deleted.
6. Data Sharing
We do not sell, rent, or trade your personal information to any third party. Data may be shared only in the following limited circumstances:
- Infrastructure providers: Our backend runs on Google Cloud Platform (Google Cloud Run and Firestore). Google processes data as a sub-processor on our behalf under Google's data processing terms. No personal data is shared with Google for their own use.
- Payment processing: If you subscribe to a paid plan, payment is processed by Stripe. The developer does not store your payment card details. Stripe's privacy policy governs their handling of payment data.
- Legal requirements: We may disclose data if required to do so by law or in response to a valid legal request.
7. Security
We take reasonable technical measures to protect your data, including:
- HTTPS encryption for all data transmitted between the Extension and our backend server.
- JWT-based authentication to ensure API requests come from authenticated users only.
- Secrets (API keys, JWT signing keys) stored in Google Cloud Secret Manager, not in source code.
No method of transmission over the internet is 100% secure. We cannot guarantee absolute security.
8. Your Rights
You have the right to:
- Access the personal data we hold about you.
- Correct any inaccurate information.
- Delete your data from our backend server.
- Withdraw consent by uninstalling the Extension (this stops all future data collection).

9. Children's Privacy
This Extension is not directed at children under the age of 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, please contact us and we will delete it promptly.

11. Changes to This Policy
We may update this Privacy Policy from time to time. The "Last updated" date at the top of this page will reflect the most recent revision. Continued use of the Extension after any update constitutes acceptance of the revised policy. We encourage you to review this policy periodically.
